Job Description – Trainee Accounts Administrator

Within the organisation the Administration function holds a unique space, efficiently ensuring accurate books and records of programmes funded by Government and other funding bodies. You will learn not only how individual programmes are effectively administered, and the specific characteristics of each programme, but also how their activities feed through to the wider company records and functions. You will gain a thorough understanding and appreciation of the system of internal controls required to operate in such a varied environment.

The Role:

The Trainee Accounts Administrator will report to the Financial Controller. The Administrative Assistant will carry out administrative duties, preparation of payments, bookkeeping of financial records, completion of payroll and any other administrative requirements. This position is mainly office-based with some degree of flexibility.

Essential Skills:

  • Proficiency in MS Office, particularly MS Word and Excel.
  • Ability to work to deadlines and on own initiative, with a high degree of accuracy and attention to detail.
  • Demonstrate an understanding of the requirement for strong controls for financial administration activities.
  • Eager to develop knowledge and possibly pursue additional qualifications.

Responsibilities:

In carrying out this role the Trainee Accounts Administrator may gain experience in a variety of the tasks below:

  • Procurement of services in line with public procurement requirements.
  • Preparing of contracts for services.
  • Reviewing Tax Clearance certificates from suppliers.
  • Preparation and Advertising of Tenders.
  • Maintaining records in accordance with procedures.
  • Preparation of sales invoices.
  • Processing receipts/income.
  • Credit control.
  • Preparation and processing of requisitions and payments to staff and creditors.
  • Processing travel claims, in accordance with procedures.
  • Reviewing supplier statements and resolving any related queries.
  • Maintaining detailed payment and receipts records.
  • Completing regular reconciliations to Banking system.
  • Administrative support to meetings where required.
  • Preparation and maintenance of records required for Funder and audit purposes including monthly, mid-year and year-end review of online account information and hard copy files.
  • Processing monthly and weekly payrolls and completing payroll reconciliations.
  • Processing pension payments and P30 returns to Revenue.
  • Maintaining fixed assets register.
  • Other duties that may be required from time to time.

Contract: Fixed-term role, to December 31st, 2026, which includes six-month probationary period. The contract may be extended, subject to continuing funding.

Salary: Commensurate with experience.

Hours: 35/hrs / week.

Location: Kildare Community Development Centre, Meadow Road, Kildare Town, Co. Kildare, R51 RF88

Other Benefits: The annual leave entitlement is 21 days, exclusive of public holidays, plus a TOIL system for certain additional hours worked.
